How to Convert an Estimate

You can convert an Estimate into a new Work Order or you can add an Estimate to an existing Work Order. Here are the steps to perform both of these actions.

  1. Go to Menu --> Service --> Estimates.
  2. Search for and click to open the Estimate.
  3. Important: Make sure to mark the necessary jobs with a status of Approved.
    1. You can do this using the Approve All (Double Checkmark) button at the top of the Estimate. This will mark all jobs as approved.
    2. You can also manually set the approvals for each job one by one. Any job left in the Waiting for Approval or Declined status will not transfer over to the Work Order.
  4. At the top of the Estimate, click the Create Work Order drop-down menu.
    1. The Create Work Order button will create a new work order using the same contact and vessel.
    2. The Add to Existing Work Order button will permit you to choose a Work Order from the same contact and vessel as long as that Work Order is not deleted.


What Does Transfer Over from Estimate to Work Order

The following list of items will transfer over from Estimate to the Work Order:

  1. Title, Contact, and Vessel of the Estimate
  2. Location and Estimated Dates
  3. All Comments
  4. Terms and Conditions
  5. Jobs Where the Status is Approved
  6. All Labor Lines Including Price Overrides and Quantities (See Exception Below)
  7. All Parts Including Price Overrides and Quantities (See Exception Below)
    1. Important Note: This will only occur if the Add Parts to Work Order checkbox is enabled. (See Exception Below)
  8. All Charges Including Price Overrides and Quantities


What Does Not Transfer Over from Estimate to Work Order

Certain items remain inside the Estimate and do not transfer over to the Work Order on purpose to preserve reporting. This also allows the entry of labor hours and parts without having to delete estimated details.


The following list of items will not transfer over from Estimate to Work Order:

  1. Jobs Where the Status is Waiting for Approval or Declined
    1. These Jobs will be left in the Estimate for later approval and conversion to Work Order to allow for future revenue opportunities.
  2. Hourly Labor Quantities and Technician Hour Entries are not transferred to maintain reporting in the Labor Hours report and to permit the entry of technician time.
  3. Any Part which is marked as Tracked inventory will only be added to the Work Order if a sufficient Quantity on Hand exists to add to the Work Order.
    1. Important Note: Molo will immediately reduce the Quantity on Hand for any parts added from an Estimate to Work Order therefore, it is recommended only to use this function when the parts will immediately be removed from inventory and installed on the vessel.
