Deny Access / Remove Features

Below is an explanation of the function of each "Access Point" that can be added to user accounts to restrict access.


  1. Rate Override - Prevents user from using the Pencil button to override a rate in the reservation creation screen.
  2. Reports Page - Locks the user out from accessing any Molo reports.
  3. Inventory Page - Locks the user out from accessing the Inventory list.
  4. New Work Order - Prevents the user from creating a new Work Order from either the +New menu or from the Work Order List.
  5. New Estimate - Prevents the user from creating a new Estimate from either the +New menu or from the Estimates List.
  6. Delete Work Order - Prevents the user from deleting a Work Order using the Garbage Can button.
  7. Delete Estimate - Prevents the user from deleting an Estimate using the Garbage Can button.
  8. New Contact - Prevents the user from creating a new contact from either the + New menu or from within a reservation.
  9. Edit Contact - Prevents the user from using the Edit button for any contact.
  10. Delete Contact - Prevents the user from pressing the Delete button on any contact.
  11. New Vessel - Prevents the user from creating a new Vessel from either the + New menu or from within a reservation.
  12. Edit Vessel - Prevents a user from from using the Edit button for any vessel.
  13. Delete Vessel - Prevents a user from pressing the Delete button on any vessel.
  14. Payment Methods Contact Tab - Prevents the user from clicking the Payment Methods tab of a contact. This prevents viewing, editing, deleting, or adding new payment methods to a contact.
  15. Job Template Page - Prevents user from accessing the Job Templates page and as a result user cannot edit, delete, or create Job Templates.
  16. Offers Page - Prevents user from accessing the offers list and therefore user also cannot create, edit, or delete offers for online bookings.
  17. Time-Based Rates - Prevents user from viewing, editing, creating, or deleting Time-Based rates.
  18. Seasonal Rates - Prevents user from viewing, editing, creating, or deleting Seasonal rates.
  19. Exchange Rates - Prevents user from viewing, editing or creating Exchange Rates.
  20. Statements - Prevents user from accessing Statements tool and therefore user cannot send statements in bulk, add finance charges, or trigger auto-charge.
  21. Invoices - Prevents user from accessing and searching the invoice list. This is located under Menu --> Statements and Invoices --> Invoices. User also cannot print invoices in bulk.
  22. New Sale - Prevents user from creating a new sale / invoice. User also cannot click Add Charges, Pay, or Refund on an existing invoice. User can still print or email an invoice as well as see its line items.
  23. New Credit Note - Prevents user from creating a new credit note via the New menu and also from within an existing invoice.
  24. Space Admin - Prevents user from editing spaces under the Space and Resource Setting >> Spaces menu.
  25. Delete Invoice Item - Prevents user from deleting an invoice line item.
  26. Void Invoice Item - Prevents user from voiding an invoice line item.
  27. Add Invoice Discount - Prevents user from clicking Pencil —> Discount meaning applying a discount to a line item. Important: If negative invoice item exists, a user could add that item to discount the invoice which this deny access point does not cover.
  28. Add Service Discount - Prevents user from clicking Pencil —> Discount meaning applying a discount to an estimate or work order line item. Important: If negative item exists, a user could add that item to discount the estimate or work order which this deny access point does not cover.
  29. Override Invoice Price - Prevents user from using Pencil —> Override Price inside of an invoice.
  30. Override Estimate Price - Prevents user from clicking Pencil --> Override Price inside labor, parts, and charges for estimates.
  31. Override Work Order Price - Prevents users from clicking Pencil --> Override Price inside labor, parts, and charges for work orders.
  32. Access Estimates - Prevents user from opening the estimates list and prevents user from opening any estimate.
  33. Access Work Orders - Prevents user from opening work order list and prevents user from opening any work order.
  34. Restrict Web Access - Prevents the user from accessing Molo via the web browser. This is helpful for making an account for a service technician to access the Molo Service tech app but the business owner does not want the user accessing Molo at all on the web browser.
  35. Hide Cost Details - Prevents user from accessing the Molo —> Admin —> Technicians page and also cannot see the Profit and Cost calculations inside the Work Order.
  36. Labor Hours Report - Prevents user from accessing Labor Hours Report.
  37. Tags Admin - Prevents user from creating, editing, or deleting tags. User also cannot access Molo —> Admin —> Tags.
  38. Add Note - Prevents user from adding private notes to internal notes section within Contact, Vessel, booking or reservation pages.
  39. Create Calendar Events - Prevents user from being able to create a calendar event in Molo —> Service —> Calendar
  40. Edit Calendar Events - Prevents user from editing calendar events in Molo —> Service —> Calendar.
  41. Delete Calendar Events - Prevents user from deleting calendar events in Molo —> Service —> Calendar.
  42. Create and Edit Event Types - Prevents user from creating or editing 'Event Types' within New Event popup screen in Molo —> Service —> Calendar.
  43. Create and Edit Service Resources - Prevents users from creating or editing service resources found in Molo —> Service —> Calendar --> + Add Resource.
  44. Manual Inventory Adjustment - Prevents user from manually adjusting inventory via the Current Inventory reports as well as within the item settings.


Grant Access / Elevated Access

Some of the access points are "Elevating" access points which means you never have access to a tool unless you get this specific access point with the setting Manager Access.

  1. Change Credit Card Payout Account - This allows the user to add or edit the credit card used to pay out Molo Express payments. It's important only to give this Manager Access to the owner of the marina or their delegate to deter any employees from inputting personal information.
  2. Change Financial Lock Date - The Financial Lock Date in Molo helps lock out past invoices from being edited and voided after an accountant or bookkeeper exported data from Molo. Normally, only the business owner, accountant, or bookkeeper should have this access point with Manager Access.
    1. If a user is granted this permission, 'Molo Settings' permission will in turn be granted as it controls settings pertaining to financial charges in Molo --> Admin --> Settings.
  3. View Work Order Costs and Profits and View Technician Costs - If granted this permission, this access allows users to view Molo --> Admin --> Technicians as well as profit and cost breakdown on each work order.
  4. Business Information - This grants the user access to the Business Information page which is used for the setup of the account and houses sensitive information regarding the company.  It's important to only give this access to an officer, board member, or executive of the corporation/LLC/entity.
  5. GL Code Admin - This allows the user to edit and add GL code and tracking settings for the entire account.  Recommended to only give this access to accounting personnel. 
  6. Bulk Email - Gives access to the Bulk Emails feature.
